To let someone log in to Triark, you need to create a user account based on an existing person in your workspace. This is done in the User Administration module, where you can manage login access and assign roles such as Standard, Reader, or Admin.

Use this module only for people who need to log in. CRM Persons are used for linking contacts to documents and projects, without giving them access.

This distinction is important:

  • User Administration = login access
  • CRM Persons = linked to project data, no login required

Use the User Administration module only when someone needs an account and access to Triark Cloud.

  1. Go to โ€œUser Administrationโ€ from the side menu.
  2. Find the person you want to enable as a user.
  3. Double-click their name to open the details view.
  4. Select the โ€œUserโ€ tab.
  5. Click โ€œ+ Userโ€ to open the create user form.

Youโ€™ll now see the slide-in user form.

  • Username (email): This will be the userโ€™s login.
  • 2FA Phone Number: Required for two-factor authentication.
  • Usertype:
    • Standard: Regular access with customizable permissions.
    • Reader: Read-only access.
    • Admin: Full access to manage everything.

You can also control:

  • System Access (e.g., Standard, CRM Company, CRM Person)
  • Access Level (Read / Write / Delete)
  • Create Project toggle (available for Standard users)

Once youโ€™ve filled in the form, click โ€œSave and Close.โ€

The user will receive an email with a login link. They need to follow the instructions in the email to activate their account and set a password.

โœ… Tips and Common Questions

Can I remove a user later?
To revoke someone's access (block a user), follow these steps:

  1. Go to the User Administration module.
    This is where all registered users with login access are managed.
  2. Find the user in the list.
    Use the search bar if needed to quickly locate the person.
  3. Open the userโ€™s detail view.
    Click on their row to open their user profile.
  4. Navigate to the "User" tab.
    This is where login credentials and access settings are managed.
  5. Click โ€œBlock user.โ€
    This immediately disables their access to Triark. They will no longer be able to log in.

โœ… Note: You can unblock the user at any time if their access needs to be restored later.

Do I need to enable all persons as users?
No โ€” only enable those who need to log in.

What if someone didnโ€™t get the activation email?

  1. Ask the user to check their spam or junk folder.
    Sometimes the email may be flagged by their email provider.
  2. If they still didnโ€™t receive it:
    • Go to the Triark login page.
    • Click โ€œForgot your passwordโ€ and follow the reset steps using their email address.
  3. Still not working?
    Contact Triark Support for help verifying the account.
